About Accounts

When Converting a Quotation to a Project, which is When your customer approves the proposal you sent, and you receive the Purchase Order(PO) from the customer. You must enter all the necessary purchase order (PO) details to convert into project.

Once the quotation is converted into a project, the associated company becomes your customer and is added to your list of accounts.

Accounts module helps you to have an overview of all the customers details along with projects and opportunities and quotations which are expected to close with them.

Filtering Accounts Data

To filter accounts data:

  1. Open the Filter Sidebar:

    • Click the filter icon to open the sidebar on the right side of the screen.
  2. Filter Options:

    • Account Manager: Select specific account managers from the dropdown.
    • Industry: Filter accounts by industry.
    • City, State, and Country: Type your desired location, press enter to create a tag, and filter accounts based on location.
    • Territory: Focus on accounts based on location and industry segmentation.
    • Status: Narrow down accounts by their status.
  3. Managing Filters:

    • Set Default Filters: Save preferred filters to maintain the same view each time.
    • Clear Filters: Use the "Clear Filter" button to reset all filters to default.
    • Reset to Default: Use the "rest to default" button to reset the default filters set.

View Accounts Data

Below these options there is list view of all the compaines in the account module. where you can see preview of the account details.

On clicking on any one of the records, you will be redirected to the editing accounts page where you can update account details, and are able to add more opportunities, contacts and projects in the same.

Editing Account Details

  • There is an account details section which displays all the information of the customer's company details.
  • On the left side of the section there is an edit icon where you can edit all the general, company and address details of the company.
  • By filling out all the mandatory fields in all the sections, general, company and address details and clicking on the save button to update all the information.

Account Details – tabs sections

Below are the account details section, you can find tabs naming projects, contacts, opportunities, quotations and documents associated with a particular account. This provides an overview of all ongoing activities within that account.

PROJECT

The Project tab displays a list of all projects associated with an account, including the following details:

  • Project Code:
    A unique, system-generated identifier for each project.

  • Tags:
    Users can assign multiple tags to a project for easier identification.

  • Title and Subtitle:
    Provides a clear overview of the project.

  • Start Date and End Date:
    Displays the project’s timeline for user reference.

  • Delivery Manager:
    Identifies the person responsible for managing project delivery.

  • Status:

    • Active: The project is ongoing.
    • Expired: The project’s end date has passed, and no new start or end date has been set.
    • Ended: The project is complete, and no further work is being conducted with the customer.
    • Renewed: The project has been extended or renewed by the customer.

Clicking on a project navigates you to the Project section within the Sales module.

To renew a Purchase Order (PO) and extend project dates, click the green button on the far-right side of the project list.

CONTACTS

The Contacts tab displays all contacts associated with the account.

  • Create a Contact: Click the Create Contact button to open a form where you can add a new contact by filling in the required details.

  • Edit a Contact: To update a contact, click on the desired contact. A window will appear, allowing you to modify the details.

OPPORTUNITY

The Opportunities tab displays all opportunities associated with the account.

View Opportunity Details

  • Click on a record in the list to navigate to your company’s Opportunity tab within the Sales module.
  • You will be re-directed to the sales module and from there, you can edit opportunity details.

Create Opportunity

  • A Create Opportunity button is available at the top-right of the account details page, below the navigation bar.
  • This button allows you to create new opportunities directly for the existing customer (account).
  • Clicking the button opens a form where you can enter the required details.
  • Fields marked with (*) are mandatory and must be filled to create an opportunity.

QUOTATION

All quotations that are currently or were previously in conversation with the customer are listed here, along with their details.

  • Clicking on any record redirects you to the Quotations tab in the Sales module, where that specific quotation will be displayed.
  • You can edit quotation details by clicking the Edit icon located at the right end of the Quotation Details section.

DOCUMENTS

All documents associated with the account are displayed in this section.

  • Users can add new documents as needed.
  • Users can add category under the Document type.

Merge Company

The Merge Company option allows users to merge similar companies created in the system.

  • If a user creates a company that is somewhat similar to an existing company, they can merge the two to avoid confusion.
  • A company can only be merged if there are no conflicting leads, opportunities, or quotations. This means each offering must have a unique entry under the company. If there are conflicts (e.g., identical leads, opportunities, or quotations), the merge will not proceed.

How to Merge a Company:

  1. Click the Merge Company button.
  2. A dropdown will appear, allowing users to select the company into which the data will be merged.
